Faculty Workload Reports

Department chair are required to report annually on the workload of the full-time faculty and graduate assistants in their departments. This on-line system provides you with information (from Quasar) on courses taught by each faculty member in your department at Queens College. Teaching at the Graduate Center must be entered by hand, using information from the reports on Graduate Center teaching sent to you recently. Scholarly and administrative release time must also be entered by hand. This information is stored from last year, so this year you only need to enter the changes from last year.

Then click here to sign on to the system. Use your Active Directory username and password.

As chair of your department, you are automatically on the list of those authorized to complete workload reports for your faculty. To have someone else, such as your department administrator, designated as an assistant who is authorized to fill out these forms, send email to Kimberly McCants (Kimberly.McCants@qc.cuny.edu). Designated assistants should sign on using their own Active Directory username and password. Note that even if someone else prepares the report, you must review it to indicate your approval as chair.
To provide an opportunity to carry out maintenance, the system may be unavailable from 11 am to noon Monday to Friday.

After you sign on, you will see a drop-down list of all faculty in your department. This list includes part-time faculty, but workload reports are only needed for your full-time faculty and for your Graduate Assistants A, B, and C.
Selecting a faculty member will display a worksheet with some information already entered. Add or change information as needed. Then click on the indicated button at the bottom of the worksheet to get a workload report. (Note that the totals won't be updated until you click on the button.) If you want to make changes to the report, click as indicated to return to the worksheet.

Report students doing independent study and thesis research with each faculty member, using Table A to list students at Queens College and Table B for the Graduate School. These tables are provided on the worksheet and should be filled out on line.

For some items, such as credit for Released/Reassigned time, more information may be needed. If possible, type (or copy and paste from your word processor) this into the Description box. This information would normally be only a few paragraphs so it should fit. Bibliographic entries should be complete citations, including all authors and starting and ending page numbers. If in rare cases a lengthy explanation is necessary, please provide this on a separate sheet of paper, state "See separate sheet" in the Description box, and send the sheets to your dean.

Note that some information is pre-filled with last year’s entries. Please make sure the information is updated for this year; do not simply accept last year’s entries unless nothing has changed.

Once all the reports for your department are correct, notify your dean, who will review them. It is not necessary to print out the reports, as your dean can review them on line. (However, copies of any paper documents, such as descriptions of reassigned time, should be sent to your dean.) You can make changes in the report if the dean requests them, but once the dean has approved your report, no further changes can be made.
